SLC Hiring Checklist for Supervisors

This checklist summarizes all steps SLC Supervisors need to complete in order to hire or re-hire an Academic Student Employee (ASE). More details for each step are listed below.

  • Write and send the ASE an offer email, including an Appointment Template and an SLC Employee Information Form (EIF).

  • Ensure that the ASE knows to submit the EIF ASAP.

  • Enter the ASE's information from the EIF into the SmartSheet, and let Approvals Team know when this is done.

HR/BRS will update the SmartSheet to indicate whether the ASE needs to be Onboarded. If not, which is generally the case if the ASE has been re-hired for the same SLC position as last semester, the ASE can begin working right away. Otherwise:

  • Ensure that the ASE knows to complete the DocuSign packet that will be sent to them by HR/BRS.

  • Ensure that the ASE has received an email with Onboarding instructions from HR. If the email is not received within 1 week of completing the DocuSign packet, please email bears_onboarding@berkeley.edu(link sends e-mail) to ask about the status of the request.

    • Ensure that ASE has completed their Onboarding with an authorized representative (either HR or someone of their choosing).

  • The ASE may begin working!

    • If CalTime has not processed the ASE’s information by the end of the pay period, ensure that they fill out and submit a manual timesheet.   

  • Remind them that they are required to attend a UAW orientation(link is external) and to look out for an email from a UAW representative.

Hiring Process Overview

Offer Letters/EIF

  1. After deciding to offer employment or re-appointment to student staff, you should first send either a New Tutor Offer Email or Re-appointment Offer Email. Here are links to the PPT team's New Tutor Offer Email template(link is external) and the Re-appointment Offer Email template(link is external). Please fill in the blue parts of the template as appropriate. Make sure to either attach or link both of the following:

    1. An appointment letter. Current appointment letters for all SLC programs can be found on the SLC Our Peer Staff Page. To write a new appointment letter, please follow the PPT’s template here: UAW ASE Appointment Letter Template(link is external) [Updated for SLC 12/15/20].

    2. An EIF (Employment Information Form) for the appropriate SLC program. The PPT team has created a single unified template Google Form that all SLC programs use as their EIF and make copies of each semester. If you wish to create a new EIF, make a copy of the template here(link is external). Do not change any part of the template aside from what is capitalized inside square brackets. 

  2. Note: A re-appointment offer email is for students who worked at the SLC in the same position during the previous semester. A new hire email is for students who have either: (A) never worked for the SLC before, (B) taken a break from work at the SLC for longer than a semester, or (C) who will have a change to their position at the SLC.

Email Approvers

Once you have entered the appropriate information in SmartSheet, email the SmartSheet Approval Committee at slc-approvers@lists.berkeley.edu, letting them know which rows to review for approval. [The approval committee decides whether to approve funding for each staff member hired.]


At that point, hiring is out of your hands [though you may wish to send out reminders to the new hires to do their steps], and if there are no hiccups, the remaining hiring steps should be completed in at least two weeks:

  1. Finance Team assigns position numbers for each Peer Staff Member Appointment.
  2. The Onboarding Team sends DocuSign packet and Onboarding information to the ASE, if needed.

Hiring Student Admin Staff

Context

Student admin staff, such as program ambassadors or front desk staff, are hired under a different designation than peer tutors and as such the process for hiring them is slightly altered. This protocol provides information and an overview of how to hire such staff.

Hiring Student Admin Checklist

This checklist summarizes all steps SLC Supervisors need to complete in order to hire Student Admin Staff. More details for each step are listed below.

  • Write and send the an offer email, including an Appointment Template and a SLC Employee Information Form (EIF) to each staff member.

  • Ensure that the staff member knows to submit the EIF ASAP.

  • Create and Fill out Information Sheet for Student Admin Staff [Template(link is external)].

  • Send Dominic Garcia (dominicgarcia@berkeley.edu) an email sharing the spreadsheet and requesting position numbers are generated for each staff member.

  • Begin Process of Submitting an HR Service Hub Request for Hiring for each staff member.

  • SLC Management Team Cara Stanley and Khuyen Nguyen both Approve Hire.

  • Ensure that the Student Staff member knows to complete the DocuSign packet that will be sent to them by HR/BRS.

  • Ensure that the Student Staff member has created an Onboarding appointment (preferably within 48 hours of completing the DocuSign packet).

  • The Student Admin Staff may begin working!

    • If CalTime has not processed the staff member’s information by the end of the pay period, ensure that they fill out and submit a manual timesheet.   

  • Remind them that they are required to attend a UAW orientation(link is external) and to look out for an email from a UAW representative.

Creating and Sharing Information Sheet for Student Admin Staff

In order for position numbers to be created for Student Admin Staff, a sheet with information from the EIF should be shared with our Finance Partner Dominic Garcia (dominicgarcia@berkeley.edu).

You may make a copy of the Student Admin Staff Information Sheet Template(link is external) to input information for the Student Admin Staff.

All information on this sheet can be found on the completed EIF the staff member has submitted, except for the Supervisor information in rows 14-15 and the Chart String information in row 21. Please consult with Cara Stanley to get the appropriate Chart String for hiring Student Admin Staff.

After you have filled in information for each staff member on the sheet, you can submit a request for Dominic Garcia (dominicgarcia@berkeley.edu(link sends e-mail)) to create position numbers for these staff and input them on the shared sheet.

Submitting an HR Service Hub Request

After position numbers have been created for each staff member, you will have to submit a request for hiring using the HR Service Hub(link is external). The detailed process for submitting a request is below.

Approvals Process for Student Admin Staff

After successful creation of a ticket for each staff member, both Cara and Khuyen will receive the request via the ticket. Review the information on the ticket and approve the hire. HR/BRS will then process the hire following the hiring process for hiring Tutor Staff, as laid out in the beginning of the document in the Hiring Process Overview.
